CompuCash 4000 SQL Office

Office software is installed into standard computers operating on the Windows.

More thorough overview will be given at the training courses organised by our specialists, but also in the issued guidelines.
The following is a short product presentation.

PRODUCTS AND GROUPS

General product design for similar companies is of the same kind, but each customer has personal needs and wishes which can be flexibly defined in the system.
The structure of product groups is the foundation of the whole product register, which may branch off into subgroups of several levels. Products can be flexibly filtered in the product register both by general features and by specific groups. It is possible to set appropriate filters by groups (in product registers, inventory, reporting, etc), present reports by groups, including different TOP reports, graphs, profitability analysis, etc.

Generation of new products has been made as convenient as possible, it would require minimum moves and time. It is necessary to enter only the name of product and to define the main unit, the program will automatically define even the minimum value of the unit of measurement and product group.
If products are already included in an earlier register, it is possible to transfer data automatically into the CompuCash 4000 SQL database.

A specific feature of catering is that a product may have both a base unit and the corresponding unit of measurement. The advanced development of the recipe calculations and accounting allows to determine loss percentage for any component in the recipe (including definition of gross and net quantities). It is possible to generate interim recipes which in turn could very simply be transferred into new recipes. We guarantee the complete overview of the whole calculation and for products calculated in the recipe (e.g. dressings, salads, etc. to be calculated with necessary cost standards) it is possible to present different types of reports by recipe components, cost prices, sub-recipes in the recipe, etc. The cost price of each component in the recipe and of the whole recipe will be displayed. Consequently it is convenient to set the selling price.

To meet the specific requirements of retail trade we have made search and identification of products easy and fast based on the bar code and product number. Apart from that it is possible to define other product features, e.g. size, colour, etc.

In addition the system will enable to carry out:

  • Accounting of gift tokens,
  • Accounting of different service cards (including e.g. 10-visit cards for sports clubs or recreational centres, period cards, etc.),
  • Entry of products related to time reference, when the selling price of services depends on the time spent. To activate a time product, a receipt bearing the bar code will be printed. When it is later presented, the system will automatically consider the time spent and calculate the amount to be paid. It is possible to define different time units together with prices (e.g. one price for the first two half-hours and the next two already with a different price, etc).

STOCK ACCOUNTING

Stock accounting will be in real time. This will ensure good verification and stock optimisation opportunities. Critical inventory limits can be defined for products, which will enable automatic generation of order documents and sending them to suppliers by e-mail. The same order documents can be easily used for the preparation of receipt delivery notes.
The goods on a delivery note may be categorised by different warehouses and it is possible to register delivery notes in a different currency, in which case at acceptance of the delivery note the currency will be automatically converted into main currency. It also allows us to define product-specific ‘used by’ dates, etc.

Accounting will offer a good overview e.g. by most important products, suppliers, invoices paid and unpaid, cash flow and by other relevant characteristics. Payments can be entered on invoices and it is possible to monitor purchase records.
Automatic import of delivery notes from external systems and electronic delivery documents is convenient and it saves time. Generation of documents and data entry requires minimum efforts. While entering delivery notes it is easy to generate new products. Fast identification of a product is possible by name, bar code or product number.

The production part enables to make finished products for a given warehouse based on a defined recipe. The raw materials will be deducted in the warehouse and finished products will be in stock in compliance with cost price.

Stock taking in a selected warehouse is simple and fast. Inventory can be made of the products of main group, of a selected sub-group or of specific single products.
Random stocktaking is often required for critical product positions.
Inventory of recipe-based finished products is easy in catering companies. The program will automatically calculate the quantities of ingredients in finished products and it will allow making full inventory analysis.
Quick stock taking in shops can be realised using the possibilities offered by bar code techniques, including portable bar code terminals. Inventory will be recorded in real time, i.e. each inventory event and sales transaction will be immediately recorded. Inventory accounting will help to optimise inventory and to plan buying in products.

Displaying of inventory history is as simple and fast. A detailed report on product movement in the warehouse will give a complete overview of product history in chronological order. In case of any event related to a product the inventory and warehouse price will immediately be displayed both before and after the event. This information will enable accurate evaluation of inventory and verification of product movements and cost prices of products.

SALES MANAGEMENT AND PRICING

The possibility of defining currencies and exchange rates enables to realise sales in different currencies. Flexible development of different price-lists is provided.
Price setting can be based on cost price, prices of other price-lists, existing pricing, filters of defined product groups and on numerous other criteria.

Flexible pricing and various discount systems will allow customer-focused approach which will offer favourable terms depending on quantity, time and amount of money involved.
Discount coupons, company cards with advance payment or credit limits and bonus cards can be easily created. Registration of regular customers will allow you to filter customer groups by purchase sum totals, visit frequency, place of residence, birthday, age or numerous other criteria. It is easy to send promotion materials or information to a selected list by e-mail or direct mail. Reliable statistics on regular customers will enable to analyse the effectiveness of your regular customer programmes and to develop new ideas and marketing strategies which in turn will give competitive advantages.

Labels can be printed with all required elements, including bar codes. The design and size of labels and the information to be printed on it can be freely defined. Prices can be indicated in parallel in Euro.

Comprehensive sales accounting will meet any possible wishes and support efficient business analysis. Graphic reports will illustrate numbers and display given reference points. Salespersons, points of sale, product groups and price bands can be compared according to established periods. Hours, days, weeks, months, etc can be selected for reporting periods. For sales management the program includes comprehensive information on each transaction record, salesperson, point of sale separately by established filters. The information displayed may be e.g. salespersons reports by shifts, sales volume reports - including different TOP reports, reports on means of payment, reports on special campaigns and special offers, card payment reports and other types of information on sales activities.

The cash register events are recorded in the office program in real time and will give a good overview and control over the activities conducted in the cash registers. Special attention can be paid to monitoring discount applications and corrections in invoice lines (if they are allowed for salespersons). The wholesale function of the Office enables to prepare prior quotations which will be distributed by e-mail or fax, wholesale activities, presentation of summary invoices and marking of invoice payment.

CONFIGURATION AND SETTING

The cash register system is supporting variations and configurations of different devices, which might include receipt printers, customer indicators, card readers, keyboards, different types of weights, etc.

The whole system consists of so-called software setting switches in which relevant features of the cash register system will be set according to customer’s wishes, Different settings may be created for each point of sale, taking into consideration the peculiarities of the type of service. Further extension of the system and addition of new devices is easy. Specific warehouses or points of sale can be assigned to each user and then the person will be allowed to work only with the defined warehouse and point of sale. User groups are created in the system with the indication of specific rights of the group. Linking of new users to the system will be easy in future. They will be linked through their position in the company and through it necessary user rights will apply to them.

Configuration of the keys of touch screen or keyboard is easy and it enables printing out of labels of the corresponding key.
Any activity in the system will be recorded in the relevant log, in which authorised persons, if required, may use reporting filters for service providers, types of activity or specific program modules.
CompuCash 4000 SQL can be used for organisation of distributed systems, in which different workplaces /points of sale are connected over the Internet. This will provide data transfer and process recording in real time. CompuCash will enable point of sale administration at home or on trip.

The cash register system is supporting bank card payments and card payments are fast due to the use of the Internet connection.
In compliance with the requirements established by Estonian banks, starting from the beginning of 2005 our activities have been transferred to the new EMV standard supporting smart card technology.
